Here you can find the answers to some commonly asked questions regarding our payment procedure.
If you cannot find the answer to your question, please contact us and we will be happy to help.
What has changed?
Previously, appointments which were booked online were paid for at the time of booking; this accounted for around 30% of all bookings. Appointments booked over the phone or in person at the Clinic could be paid for either at the time of booking or at the time of the appointment.
We have now standardised the procedure and take payment for all appointments at the time of booking.
If you would prefer to retain the funds in your own account until nearer your next appointment- please see the section below titled 'Can I pay nearer the time?'.
Why has this changed?
During the Summer, last minute staffing issues outside of our control created the need for payments to be taken ahead of time, as the clinic did not have adequate reception cover in place.
As we transition into a new staffing routine, the consistent approach of taking payments in advance of appointments has been hugely beneficial and is the only way the clinic is able to operate efficiently.
Can I pay nearer the time?
We understand paying weeks or even months in advance isn't suitable for everyone.
For this reason, we have developed an alternative option, so the money doesn't leave your account straight away.
Instead, we can take payment details from you once, which will be securely stored by our third-party payment provider, Stripe; the details will not be visible to anyone from the Clinic after submission.
We will then take payment using these details, usually 1 week before your next appointment.
Specific terms and conditions are in place for your protection, which must be signed and returned prior to payment details being taken, but are also available on request.
Can I still make bookings in the same way?
Yes, absolutely!
If you usually book online, nothing has changed.
For bookings made in person at the clinic or over the phone, we will still process this as normal and take payment from you at the time, unless we hold your details on file. See 'How can I make payment?' for details.
Additionally, if we have your payment details on file, we can also accept bookings via WhatsApp.
How can I make payment?
In summary- there are 4 ways to make payment for your appointment.
1. Online: at the time of making your booking through our website.
2. At the reception desk: using the card machine.
3. Over the phone: providing card details for an instant, one time only transaction.
4. Automatically ahead of each appointment: provide payment details once which will be securely kept on file. These payment details will be used to take payment usually 1 week ahead of each appointment.
Specific terms and conditions are in place for your protection, and are available on request.
Please note: the temporary procedure of sending invoices via email for online payment is no longer in operation.
What if I have Private Medical Insurance?
We accept Private Medical Insurance from multiple providers, all of which have a legally binding contract in place with the clinic.
We will continue to offer this service as usual and will take patient contribution payments (if necessary) in line with our usual payment policy.
I still have questions...
We understand changes impact different people in different ways.
